Companies that own and lease a portfolio of commercial properties usually hold the truth about each asset in a dozen places.
Companies that own and lease a portfolio of commercial properties usually hold the truth about each asset in a dozen places. Owners, ownership shares, areas, survey and Khata numbers and valuations live in different spreadsheets; lease lock-ins, escalations and expiries are remembered rather than recorded; statutory obligations such as Property Tax, Khata renewal and Fire NOC surface only once they are already late; and title deeds and certificates sit in folders with no link to the asset or lease they belong to. Outstanding rent is assembled by hand at month end, purchase diligence is tracked in email threads, and every board pack starts by copying numbers between spreadsheets.
We built Property OS as one register for the whole portfolio, where every team works from the same record. Each property carries its identity, ownership entities and percentage shares, sites, buildings and leasable units, valuation and status history. Lease terms are captured once and generate the rent schedule with escalations applied; payments are recorded against it, arrears are aged per lease, property and portfolio, and 90/60/30-day expiry windows keep renewals in view. A configurable compliance engine models recurring statutory obligations with owners, lead times, evidence and red/amber/green status, so deadlines are visible before they slip. A document vault links every deed, agreement and certificate to its property, lease, tenant or deal with versions, expiry dates and access rules. A deal pipeline with due-diligence checklists and payments closes straight into the register, and a live dashboard plus ten standard reports replace the month-end spreadsheet exercise.

“Property OS is the clearest example of why we design the data model first: once a property, its owners, its leases and its obligations are one connected record, the dashboard, the compliance calendar and the board pack stop being separate jobs.”
— Property OS Product Team, Canny Technologies
Property OS is live in production with a public marketing site and the full application behind login. Leadership and operations start the day from the same dashboard — portfolio value, occupancy, contracted rent, collection, compliance health and a ranked list of critical actions for the next 30, 60 and 90 days. Statutory deadlines have owners and evidence instead of living in someone's memory, every document is attached to the record it supports, and every change is traceable to the person who made it. Deals close straight into the asset register, so a new acquisition is fully on file the day it completes.
